Duration:
Day conferences are to be completed by 5.00p.m. Failure to depart within 30 minutes of the scheduled finishing time will incur a ‘late charge’ of $55 per staff member. It is the organiser’s responsibility to ensure guests are aware of these finishing times.

Additional conference time may also be arranged at the time of booking and will incur additional fees.

Smoking Policy:
All rooms have a policy of no smoking; however smoking is permitted outside of the building.

Pricing:
All prices are current from 1 July 2006 and subject to change without notice.

Final Numbers and Payment:
Bookings are considered tentative until receipt of a deposit and a signed application form is returned. Final numbers and payment will be confirmed 7 days before the conference commencement date. These numbers will be considered as a client guarantee and will form the basis for charging. The conference may be invoiced (payment terms net 7 days) on prior approval from Viewpoint.

Surcharge:
A 50% surcharge is applicable on Public Holidays and Sundays.

Confirmation:
A deposit of $275 is required to secure all conference bookings. This deposit must be received within 14 days of the original reservation together with the completed booking application form. Viewpoint reserves the right to cancel any function where the said deposit and booking application form is not received within this specified time.

Property damage:
Organisers are financially responsible for any damage sustained to Viewpoint’s property during the conference including technical equipment.

Responsbility:
Viewpoint does not accept any responsibility for damage or loss of merchandise or personal property left at Viewpoint by any person prior to, during or after the conference.

Food and Beverages:
No food or beverages of any kind will be permitted to be brought in for consumption at the conference by the organiser, or at any of the organiser’s requests without prior approval of Viewpoint (with the exception of celebration cakes).

Cancellation Policies:
The deposit is totally refundable with 30 days or more notification of a cancellation or postponement. If notification is received between 30 and 15 days prior to the conference start date, 50% of the deposit will be retained by Viewpoint. If less than 15 days notice is received, the full deposit will be retained by Viewpoint as compensation for lost business.
